Start with an IT-first plan, not a furniture-first one. Map every workstation, server rack and network point before quoting the move, so cabling gets labelled and reconnected in the same configuration at the new office.
Schedule the physical move for Friday evening through Sunday. This gives a full two-day buffer to catch and fix any issue, a missing cable, a mislabelled desk, well before Monday's opening hours.
Assign one internal point of contact who isn't also packing their own desk. Movers need someone who can make quick decisions about placement and priority without waiting for wider team input mid-move.
Keep an IT team member on standby during setup, even if remotely, to test network and phone lines as soon as racks are reconnected, catching an issue Sunday afternoon is far better than catching it Monday at 9am.
Communicate the plan to the whole team in advance: what to pack personally before Friday, what the movers will handle, and where to go Monday morning. Most 'chaotic' office moves are actually just poorly communicated ones.
